Customer-Supplied Garment Policy
Alpha Side Branding Company is happy to provide embroidery services on certain customer-supplied garments. However, we strongly recommend allowing us to source your apparel whenever possible.
When Alpha Side Branding supplies the garment, your order receives additional protection, avoids customer-supplied garment fees, and can usually be completed more efficiently.
Why Let Us Supply Your Garments?
No Hooping Fee
Customer-supplied garments are subject to a hooping and handling fee of approximately $4–$8 per garment, per embroidery location. The exact fee depends on the garment type, construction, and placement of the embroidery.
This fee does not apply when the garment is purchased through Alpha Side Branding.
Your Garment Is Covered During Production
Embroidery is a mechanical process. Although we carefully inspect garments, prepare the artwork, and complete a test stitch-out before beginning production, unexpected issues can occasionally occur.
When Alpha Side Branding supplies the garment, any garment damaged because of a production-related issue will be replaced by us at no additional cost. We will not provide you with a damaged, misembroidered, or otherwise unacceptable garment.

Customer-Supplied Garment Requirements
All customer-supplied garments must be new or freshly cleaned and suitable for embroidery.
We reserve the right to decline any garment that we believe cannot be embroidered safely or successfully. This may include garments with:

Delicate, thin, brittle, or highly stretchable fabric

Waterproof coatings or specialized finishes
-
Unusual seams, zippers, pockets, linings, or insulation
-
Existing damage, stains, holes, or excessive wear
-
Limited access to the requested embroidery location
-
Materials that cannot be safely hooped or stabilized
-
High sentimental, collectible, or irreplaceable value
Removing tags, packaging, or protective materials may be necessary to complete the work.
Assumption of Risk
Embroidery requires the garment to be hooped, stabilized, positioned, and operated on commercial embroidery equipment. While we take reasonable precautions, the process carries a small risk of damage.
Possible issues may include, but are not limited to:

Needle cuts or punctures

Fabric tears or pulls

Hoop marks
-
Puckering or distortion
-
Thread or tension-related issues

Damage caused by hidden garment defects

Problems involving seams, pockets, zippers, buttons, linings, or coatings

Mechanical or equipment-related production issues
By providing a garment for embroidery, the customer acknowledges and accepts these risks.
Replacement and Reimbursement
Alpha Side Branding is not responsible for replacing, reimbursing, or compensating the customer for the retail price, replacement cost, sentimental value, or other value of a customer-supplied garment that is damaged during the embroidery or decoration process.
Our financial responsibility for a customer-supplied garment will not exceed the amount paid directly to Alpha Side Branding for the decoration service performed on that garment, except where otherwise required by law.
Garments purchased through Alpha Side Branding are covered against production-related damage and will be replaced at no additional cost to the customer.
Customer-Supplied Garment Fees
Customer-supplied garments are subject to a hooping and handling fee of approximately $4–$8 per garment, per embroidery location.
Additional charges may apply for:

Difficult or unusual embroidery placements
-
Jackets, bags, sleeves, pockets, caps, or lined garments
-
Removing or replacing linings
-
Special stabilization
-
Individual names or personalization
-
Artwork preparation or embroidery digitizing
-
Excessive handling, sorting, or packaging
Any applicable charges will be disclosed before production begins.
Garment Inspection
We will make a reasonable visual inspection of customer-supplied garments before production. However, we cannot identify or guarantee against every hidden defect, manufacturing flaw, fabric weakness, previous repair, coating issue, or material problem.
Acceptance of a garment does not mean that Alpha Side Branding guarantees the garment is suitable for embroidery.
Test Stitch-Outs and Proofs
We normally complete a test stitch-out of a new embroidery design before using it on the customer’s garment. A test stitch-out helps confirm the general appearance, sizing, thread colors, and construction of the design.
A test stitch-out does not eliminate every risk associated with the final garment. Different materials, seams, coatings, layers, and garment construction can affect the finished result.
Digital proofs and mockups are visual representations only. Final embroidery may vary slightly in color, placement, texture, size, and appearance.
Placement Variations
Embroidery placement may vary slightly between garments because of differences in garment sizing, seams, pockets, panels, construction, and manufacturing tolerances.
We will make every reasonable effort to provide consistent placement throughout the order.
Customer Responsibility
Before submitting a garment, the customer is responsible for:

Confirming that the correct garment, size, color, and quantity were provided

Removing personal belongings from all pockets and compartments
-
Identifying any defects, stains, damage, or special concerns

Confirming that the garment is clean and ready for production

Obtaining any necessary authorization to use the requested logo, name, artwork, or trademark

Reviewing and approving the artwork, spelling, colors, sizing, and placement
Alpha Side Branding is not responsible for errors contained in customer-approved artwork or order details.
Irreplaceable and High-Value Items
We strongly discourage customers from submitting garments that are rare, discontinued, sentimental, autographed, collectible, expensive, or otherwise difficult to replace.
Alpha Side Branding may decline these items at its discretion.
If we agree to accept such an item, it remains subject to this Customer-Supplied Garment Policy, and its sentimental or collectible value will not be covered.
Spare Garments
For larger orders, specialty garments, discontinued styles, or time-sensitive projects, we recommend providing at least one spare garment in each applicable style and color.
Supplying a spare does not change or remove the terms of this policy, but it may help prevent delays if an unexpected issue occurs.
Turnaround Time
Turnaround time begins after:

All garments have been received and inspected

Artwork and embroidery files have been approved

All required information has been provided
-
The invoice or required deposit has been paid
Customer-supplied garments may require additional preparation and handling time. Completion dates are estimates unless a written guaranteed deadline has been specifically approved by Alpha Side Branding.
Unclaimed Garments
Completed customer-supplied garments must be picked up or have shipping arrangements completed within 30 days after notification that the order is ready.
Garments left for more than 60 days may be considered abandoned unless other written arrangements have been made. Alpha Side Branding is not responsible for storage-related damage or loss after the customer has been notified that the order is complete.
Policy Acknowledgment
By submitting customer-owned garments, approving an invoice, paying for the order, or authorizing Alpha Side Branding to begin production, the customer confirms that they have read, understood, and agreed to this Customer-Supplied Garment Policy.
